Paste a link. Get a write-up.

Works with Zoom, Google Meet, Microsoft Teams, Webex or GoTo Meeting. Nothing needs installing.

  1. Step 1: Send a note-taker

Paste the meeting link and choose the client.

  2. Step 2: Or tick it in Outlook

Connect your Microsoft Outlook calendar (Microsoft 365 or Outlook.com) and tick the meetings you want recorded. Connecting records nothing on its own: only the meetings you tick get a note-taker, and moved or cancelled meetings are followed.

  3. Step 3: Let Tolvi Notetaker in

The note-taker joins as "Tolvi Notetaker" and posts a message in the meeting chat saying it is recording. Time in the waiting room isn’t counted.

  4. Step 4: Read the write-up

After the meeting, Tolvi AI writes a summary, key points, next steps and open questions from the transcript.

  5. Step 5: File it and follow up

The meeting is filed against the client. Turn its next steps into review points on that client’s year-end in Working Papers, or into requests listed in the draft follow-up email. Tolvi never sends the email: you copy it, check it and send it yourself.

What you get

Everything that was agreed, on one page

  • A write-up for every meeting

A summary, key points, next steps and open questions, with the full transcript beside them and searchable. If the summary can’t be written, the transcript is still filed.

  • A draft follow-up email

Tolvi AI drafts a follow-up email to the client from what was agreed. It’s a draft only: Tolvi never sends it, and it isn’t written when nothing was agreed or the meeting wasn’t with a client.

  • Filed against the client

Each meeting sits on the client’s record, in the same place as their year-end.

  • Recordings aren’t kept

The recording is deleted as soon as the transcript and summary are saved, or as soon as a meeting fails.

  • Your practice decides who uses it

A firm admin chooses who in the practice can use Tolvi Meetings in the Admin console.

  • The write-up is on the house

Writing up a meeting doesn’t use your firm’s Tolvi AI tokens.

Recorded in the EU. Then deleted.

Recall.ai records and transcribes the meeting in the EU (Frankfurt, with transcription in Dublin). As soon as the transcript and summary are saved with the rest of your data on AWS in London, Recall.ai deletes the recording.

Recall.ai is a sub-processor in the privacy notice. An Outlook connection gives it read access to that calendar.

How Tolvi Meetings handles client data

With Tolvi Working Papers

Next steps become review points

A meeting filed against a client sits on the same client record as that client's year-end file. From the Next steps tab, a reviewer can turn a next step into a review point on the client's year-end in Working Papers. Nothing is signed off from a meeting.

  • A meeting counts the length of its recording, rounded up to the whole minute. Time in the waiting room doesn’t count, and a meeting that never recorded counts nothing.
  • The allowance is pooled across everyone in the practice who uses Tolvi Meetings, and starts again each calendar month.
  • Recording never stops at the allowance. Minutes over it are billed at 3p a minute at the end of the month.
  • A firm admin can start a trial of Tolvi Meetings from the Admin console, with 300 minutes of recording.
  • Tolvi Meetings can be bought on its own, or added to your practice’s Working Papers subscription.

Waiting rooms don’t count.

Questions about Tolvi Meetings

What is Tolvi Meetings?

Tolvi Meetings is a note-taker for client meetings at UK accountancy practices. It joins a call on Zoom, Google Meet, Microsoft Teams, Webex or GoTo Meeting, and afterwards Tolvi AI writes up a summary, key points, next steps, open questions and a draft follow-up email, filed against the client. It's part of Tolvi, so it uses the same sign-in and the same clients as Working Papers.

Which meeting apps and calendars does Tolvi Meetings work with?

The note-taker joins meetings on Zoom, Google Meet, Microsoft Teams, Webex or GoTo Meeting: paste the meeting link. You can also connect a Microsoft Outlook calendar (Microsoft 365 or Outlook.com) and tick the meetings you want recorded. Nothing needs installing.

Does Tolvi keep the meeting recording?

No. Recall.ai records and transcribes the meeting in the EU (Frankfurt, with transcription in Dublin). As soon as the transcript and summary are saved with the rest of your data on AWS in London, Recall.ai deletes the recording.

Does Tolvi email the client after the meeting?

No. Tolvi AI drafts a follow-up email, and a person copies it, checks it and sends it. Tolvi never sends it.

How much does Tolvi Meetings cost?

Tolvi Meetings is priced per practice by minutes recorded a month, pooled across everyone who uses it: Starter, 300 minutes for £9 a month; Solo, 1,200 minutes for £29 a month; Team, 3,000 minutes for £69 a month; Practice, 6,000 minutes for £129 a month; Firm, 15,000 minutes for £319 a month. Pay annually for 15% off. Minutes over the allowance are 3p a minute, and the AI write-up is included. Tolvi is not VAT-registered, so no VAT is added.
