Built to connect to Xero, QuickBooks, Sage and FreeAgent

Import a CSV or Excel trial balance from any system, or pull it from connected bookkeeping software.

How a bookkeeping connection works

A connection links one client to their bookkeeping software. Someone with access signs in at the provider, and Tolvi never sees their password.

Who can connect.
Managers, partners and firm admins.
What Tolvi keeps.
An access token, encrypted with keys held in AWS KMS. If a connection lapses, the client's manager is told.
Disconnecting.
Disconnect at any time from the client in Tolvi.

What Tolvi pulls

You preview the period end and prior period end, then confirm. The pull becomes a new, fixed TB version, mapped with your firm's rules and the client's remembered mappings.

  • A pull never edits an earlier version, so you can always see what came in and when.
  • After sign-off, the sign-off check flags any balance that has moved in the client's software, on your firm's schedule or from Sync health.

Xero

Tolvi connects to a client's Xero organisation and pulls the trial balance at the period end and the prior period end into a new TB version.

Connect from the client in Tolvi, sign in to Xero with a login that has access to the client's organisation, and choose the organisation.

QuickBooks OnlineComing

The connection to a client's QuickBooks Online company pulls the trial balance at the period end and the prior period end into a new TB version.

You'll connect from the client in Tolvi and sign in to QuickBooks Online with a login that has access to the client's company. QuickBooks Desktop isn't connected: export the trial balance as a CSV or Excel file instead.

Sage Business Cloud AccountingComing

The connection to a client's Sage Business Cloud Accounting business pulls the trial balance at the period end and the prior period end into a new TB version.

You'll connect from the client in Tolvi and sign in to Sage with a login that has access to the client's business. Sage desktop products, such as Sage 50, aren't connected: export the trial balance as a CSV or Excel file instead.

FreeAgentComing

The connection to a client's FreeAgent account pulls the trial balance at the period end and the prior period end into a new TB version.

You'll connect from the client in Tolvi and sign in to FreeAgent with a login that has access to the client's account.

Any other system: CSV and Excel

For any other software, upload a CSV or Excel file. Tolvi warns you if either year is out of balance, and maps it the same way as a pull.

  • Works with exports from desktop packages and any other system that can produce a trial balance.
  • Excel files are read in your browser, and only the sheet's rows are sent to Tolvi.

Tolvi Meetings: meeting apps and calendars

The Tolvi Meetings note-taker joins meetings on Zoom, Google Meet, Microsoft Teams, Webex or GoTo Meeting. Paste the meeting link, or connect your Microsoft Outlook calendar and tick the meetings you want recorded.

  • Nothing needs installing: the note-taker joins the call like a guest, and the host admits it.
  • Each person connects their own Outlook calendar, and it records nothing until they tick a meeting.
  • Recall.ai provides the note-taker and the transcription. It's listed as a sub-processor in the privacy notice.
How Tolvi Meetings works

Your own systems: the Tolvi API

Everything in Tolvi is in a versioned REST API, the one the web app uses, within each person's role.

  • Xero connections work today, and an uncertified Xero app is limited in how many organisations it can connect across Tolvi.
  • QuickBooks Online, Sage and FreeAgent connections are built, and are coming. Until then, upload a CSV or Excel trial balance.

Integration questions

Which bookkeeping software does Tolvi connect to?

Tolvi connects to Xero, using its own sign-in, and pulls the trial balance at the period end and the prior period end. Connections to QuickBooks Online, Sage Business Cloud Accounting and FreeAgent are coming. For those and any other system, upload the trial balance as a CSV or Excel file.

Can I import a trial balance from Excel or CSV if the client uses desktop software?

Yes. Tolvi imports a trial balance from a CSV or Excel file exported from any system, including desktop packages. Tolvi reads the current and prior year figures, warns you if either year is out of balance, and keeps the upload as its own fixed TB version.

What happens if the client changes their books after we've signed off?

Nothing in Tolvi changes silently. Each pull or upload creates a new, fixed TB version, and the final TB is always the draft TB plus posted journals. After sign-off, the sign-off check looks at the client’s books on a schedule and flags any balance that has moved, with the transactions behind it, so you can accept the change, acknowledge it or reconnect.

Xero, QuickBooks, Sage, FreeAgent, Zoom, Google Meet, Microsoft Teams, Outlook, Webex and GoTo Meeting are trade marks of their owners. Tolvi isn't affiliated with or endorsed by them.
