What every Tolvi product does today

What each product does today, then what’s coming.

Last updated

Bring in the numbers

Bookkeeping connections

Connect a client's Xero and pull the trial balance at the period end and the prior period end. Connections to QuickBooks Online, Sage Business Cloud Accounting and FreeAgent are coming.

How bookkeeping connections work

CSV and Excel upload

Upload a trial balance as a CSV or Excel file from any other system, including desktop software.

Mapping that carries forward

Map each nominal code to a lead schedule once.

Trial balance versions

Every import or pull is kept as its own fixed version and is never edited. The final TB is always worked out as the draft TB plus posted journals, so nothing changes silently.

Prepare the file

Lead schedules

Every lead schedule shows the W/P ref, current and prior year figures, the variance and a variance note.

Evidence on the line

Attach the bank statement, the loan letter or the invoice to the line it supports.

Checklists

Checklists come from your firm's templates, starting from Tolvi's default library, with client-specific steps added where a job needs them. Steps are completed as part of the file, not in a separate document.

Journals

Year-end adjustments such as accruals, prepayments, depreciation and the tax charge are posted in section X and flow straight to the final TB.

Reconciliations

Each reconciliation agrees to its own source document:

  • bank (F) to the statement;
  • VAT (H) to the return's Box 5;
  • PAYE/NI (I) to the P32;
  • pension (I) to the provider schedule;
  • CIS (I) to the CIS300;
  • loans (J) to the lender's statement;
  • the director's loan account, or partners' or members' current accounts (J), to the schedule.

Fixed asset register

A register for each client in section C, with asset classes, assets brought forward, additions, disposals with proceeds, depreciation and the fixed asset journal. Section C won't pass its checks until the register agrees to the TB and every disposal has its proceeds.

Tax

Corporation tax computation

The computation is worked from the final TB in section T, with rates by financial year, including straddling and short periods, marginal relief and associated companies.

Capital allowances

Capital allowances come from the fixed asset register: AIA, full expensing, the main and special rate pools, single asset pools, cars by CO₂ emissions and SBA.

Deferred tax

The deferred tax working compares net book value with the tax written-down value, within the corporation tax computation.

Self assessment computations

For sole traders, partnerships and LLPs: adjusted profit from the final trial balance, basis periods and the tax-year basis, each partner's share, and the self-employment and partnership page figures.

Post the tax journal

Post the tax charge back to the trial balance from the computation, so the final TB and the computation agree.

Review and sign-off

Review points

Reviewers raise review points as threads against the exact line.

Your firm's workflow

Set the stages your firm uses, such as prepare, review and partner approval, and who may act at each one. Files are submitted, approved, sent back or reopened, and Tolvi won't approve a file with review points still open.

Segregation of duties

Tolvi can require the person signing off a stage to be different from the person who acted at an earlier one, for example the preparer and the reviewer.

Journals lock after review

Once a file has been reviewed, its journals lock, so the figures that were reviewed are the figures that stay.

The sign-off check

After sign-off, Tolvi checks the client's bookkeeping software on a schedule and flags any balance that has moved since the signed-off trial balance, with the transactions behind it.

Roll forward

Start next year's file from this one: last year's final trial balance becomes the comparatives, and the asset register, tax figures carried forward and notes come across. Sign-offs, review points and evidence never do.

The working paper file

Export the file as a PDF with a cover, index, sections, review history, workflow timeline and an evidence appendix listing the documents.

Run the practice

Work queue

Every year-end file, deadline and assignee in one list, with saved views, filters and bulk assignment.

Clients and client profiles

Each client profile keeps its year-end history (status, team, deadline, times sent back, open review points, filed), permanent notes and remembered mappings.

Notifications and reminders

An in-app feed, emails when something needs you, a daily digest and deadline reminders.

Roles and permissions

Partners, managers, reviewers and preparers each see and do what their role allows: prepare, review, approve, post journals, manage integrations and change settings.

A record of changes

Tolvi keeps an audit log of who did what and when, from imports and mappings to journals, review points and sign-offs.

Getting started

A welcome tour you can skip, resume or replay from Help, and a getting-started checklist that ticks itself off from the real work you do.

Tolvi AI and the API

Tolvi AI

Tolvi AI suggests. A person decides. Every result is a suggestion: nothing changes until a person accepts it. Tolvi AI can never sign off or approve.

API and webhooks

Every feature in Tolvi is available through a versioned REST API (/api/v1) with an OpenAPI specification, and the app itself uses the same API.

Tolvi Hub

Your day on one page

Your turn, to review, overdue and due in the next 30 days, then your next five deadlines and your meetings today.

All work

One list and a month’s calendar of year-ends, accounts and returns across every product a person can use, with each deadline from that product’s own rule.

Notifications across products

Returns sent for review, review points, approvals and reopening reach the right people in the app, and by email if they want it.

Bring your practice to Tolvi

Import a CSV or Excel file of clients, a client’s trial balance, a company’s losses, pools and director’s loans brought forward, or last year’s self assessment figures to compare against. Existing figures are never overwritten, and National Insurance numbers, dates of birth and bank details are dropped when the file is read.

Suggestions across products

Link a person to a company, and its dividends can be suggested to their SA100, and director advances to the CT600A. Nothing moves until a signed-in person accepts it.

One record for each client

Status, services, UTR, VAT number, PAYE reference, registered address, contacts, responsible partner and client manager.

Year-ends and deadlines, meetings, the bookkeeping connection, the client’s Tolvi Books and permanent notes stay in the app they belong to, and the record links to them.

Who answers for the client

A responsible partner and client manager say who answers for the client, without changing any year-end file’s team. If they’re not set, the record shows the latest year-end file’s people.

Each person sees what they may use

A person sees a product’s part of the record only if they can use that product.

Identifiers checked for format

UTRs, VAT numbers and PAYE references are checked for the right format when they’re entered. They aren’t looked up with HMRC. National Insurance numbers and dates of birth are never held on the record.

Tolvi Accounts

With or without Working Papers

Accounts works on its own from a typed or imported trial balance, and Working Papers works without Accounts.

FRS 105, FRS 102 Section 1A and full FRS 102

Primary statements and notes for micro-entities, small companies and everyone else, under dated thresholds kept as data.

LLPs, on the LLP SORP

The same three frameworks with an LLP’s own statements: members’ remuneration, profit available for division, net assets attributable to members, and the reconciliation of members’ interests.

Sole traders and partnerships

Non-statutory accounts, marked as such: a detailed profit and loss account, a balance sheet, and a capital account or partners’ accounts.

Charity accounts

A statement of financial activities and balance sheet under the Charities SORP, or receipts and payments, with restricted and unrestricted funds.

Notes you can edit

Notes are built from the facts you answer.

PDF, Word and iXBRL

Every set downloads as a PDF and a Word document, and small companies and small LLPs get a filleted version too. Companies and LLPs also get an iXBRL file tagged to the FRC taxonomy, with what Tolvi can’t tag listed. Changes made in Word don’t come back.

Revised accounts

Replace a company’s or LLP’s approved accounts with a revision.

Review points

Reviewers raise review points on a set and clear them. Open points stop approval, so the accounts can’t be approved over a question nobody has answered.

Checks before approval

Anything that blocks approval says what’s wrong and takes you to the tab that fixes it, such as figures out of balance or a report still to come.

Roll forward

Start next year’s accounts from this year’s, with comparatives in place and a reminder to answer this year’s facts.

Wording help on notes

Ask Tolvi AI for a draft of a note’s wording, and accept it or don’t. It sees no names, registered details or amounts in pounds, and your firm can switch it off.

Tolvi Corporation Tax

Three ways in

A Working Papers file, a Tolvi Accounts set or typed figures.

The computation behind the boxes

Tax is worked out to the penny from whole-pound profits, using the banded rates and marginal relief that apply from 1 April 2023.

CT600A for loans to participators

Loans to participators, repayments and relief go on the CT600A, and roll forward reduces older loans oldest first.

CT600L for R&D claims

The merged scheme and enhanced R&D intensive support steps, worked through in order, with what’s left carried and rolled forward. Returns with an R&D claim can’t currently be filed from Tolvi, and one position, box L65 where a credit was brought forward, is blocked until HMRC says how its online rules and the law fit together.

CT600C and group relief between your clients

Claims, surrenders and notices of consent between clients in your firm. The 75% test is the facts a person gives, and a withdrawn notice is replaced, never changed. Linked clients suggest related companies and an associated company count, and nothing moves until someone presses Use.

CT600E, J and M

The CT600E for charities and community amateur sports clubs, where exemption is what a person says and a charity’s accounts can suggest the figures.

Amendments

An amendment is a new draft with its own review, approval and client’s confirmation, so the original is never changed. A partner can record that a return went in through other software: that’s their record, not HMRC’s word.

Review and approval on the return

Draft, in review, approved. A partner approves by default, and a firm can allow managers. An AI assistant can never approve or file.

It names what’s out of scope

Anything Tolvi can’t carry, such as consortium relief or an overseas branch, is named on the return, so nobody finds out later.

Everything to download

The CT600 and computation as PDFs, the iXBRL accounts and computation, and a preview of the CT600 XML.

Tolvi Self Assessment

The SA100 and its supplementary pages

SA100, SA101, SA102, SA102M, SA103S and SA103F, SA103L, SA104S and SA104F, SA105, SA106, SA107, SA108, SA109 and the SA110 calculation, with Scottish and Welsh rates.

The SA800 for partnerships and LLPs

The partnership statement, and each partner’s share, which a person can type over.

The SA900 for trusts and estates

Trust-rate and other settlements, and estates in administration, with the tax pool brought forward where last year’s return is in Tolvi.

R185 statements

R185s for trust income, estate income and settlors, worked from the figures you enter, for you to check.

Estates and trust working papers

An informal estate’s year-by-year breakdown for HMRC’s letter route, and a working layout for trust accounts. Both are PDFs for you to check, and Tolvi keeps no figures from them.

R40 schedule

A PDF schedule of the figures for a repayment claim. It isn’t HMRC’s form, and it doesn’t work out the repayment.

Simple Step

Questions first, then one step for each page or section. Last year’s pages and details carry forward, and steps with nothing to do are skipped.

AI Mode on the SA100

Tolvi AI asks what it needs and fills boxes from cited evidence, such as an uploaded P60 or section T.

Figures from your other work

A sole trader’s figures come from section T of Working Papers or Tolvi Accounts, a partner’s share onto the SA104, a business’s figures from Tolvi Books, and a shareholder’s dividends from a linked company’s accounts as a suggestion.

The calculation

The calculation follows HMRC’s published Tester workbook and is tested against its stored cases.

Sensitive details kept apart

National Insurance numbers, dates of birth and repayment bank details are encrypted on the return and only ever shown masked. They aren’t held on the client’s record.

Tolvi Meetings

A write-up for every meeting

A summary, key points, next steps and open questions, with the full transcript beside them and searchable. If the summary can’t be written, the transcript is still filed.

A draft follow-up email

Tolvi AI drafts a follow-up email to the client from what was agreed. It’s a draft only: Tolvi never sends it, and it isn’t written when nothing was agreed or the meeting wasn’t with a client.

Filed against the client

Each meeting sits on the client’s record, in the same place as their year-end.

Recordings aren’t kept

The recording is deleted as soon as the transcript and summary are saved, or as soon as a meeting fails.

Your practice decides who uses it

A firm admin chooses who in the practice can use Tolvi Meetings in the Admin console.

The write-up is on the house

Writing up a meeting doesn’t use your firm’s Tolvi AI tokens.

Tolvi Books

Only what needs you

Tolvi Books shows you only the bank lines that still need explaining, each with a suggestion and the reason for it: the invoice or receipt it matches, a rule you set, or how you explained the same payee before.

Bring in your bank statements

Upload a statement from your bank as CSV, OFX, QFX or QIF, or Santander’s text download.

Snap the receipt. Bin the shoebox.

Take a photo of a receipt on your phone, or upload a photo or PDF.

Invoices from a sentence

Type “Invoice Hartley Weddings for the June wedding flowers, due in 14 days” and Tolvi AI drafts the invoice for you to check. Invoices are numbered in order with no gaps, sent as a PDF from Tolvi Books, and matched to the payment when it reaches your bank. Reminders are drafted for you to approve: nothing is sent without you.

VAT on every line

Each line carries its VAT code, and Tolvi Books works out your VAT return from your books: standard, cash accounting or flat rate.

How the business is doing

Home shows money in and out, profit so far this year, cash in each account, who owes you and whom you owe, and an estimate of the tax to set aside, with its working.

Your accountant in the same books

Invite your accountant by email and choose what they can do: full bookkeeping, year-end adjustments only, or read only. They work in your books, not a copy, and every change shows who made it.

Proper books underneath

Underneath the plain words is double-entry bookkeeping to the penny. Posted entries are never edited, only reversed, and every category maps to the lines your accountant uses at the year end and, for sole traders, to the self-employment pages.

Filing returns with HMRC

Every return a practice’s clients send to HMRC. A tick means you can file it from Tolvi today. Anything marked as coming isn’t open yet: where Tolvi prepares that return, you file it through your existing software.
